Destination Store Ltd, of Highbridge House, 581 Bath Road, Longford, West Drayton, UB7 0EW acts as a “Data Controller“ as specified under the EU General Data Protection Regulation (“GDPR”).

Destination Store Ltd is a UK-based tour operator and also provides ticketing services for airlines represented in the UK by its sister company, APG (UK) Ltd. This also includes the operation of website booking systems for Uzbekistan Airways, Precision Air and Lao Airlines. If you have made a flight booking with one of the airlines we represent but one or more flights are to be provided by other airline(s) then that other airline will also separately be considered a “data controller” under European Union and UK data protection law. You can access the privacy policies of the other airlines via their own websites.

This policy explains what information we collect from you when you visit our website or use our services. It also explains the specific ways we use and disclose that information. We take your privacy extremely seriously, and we never sell lists or email addresses.

By making a booking or submitting your personal data to us, you agree to the transfer, storing or processing of it as set out below.  We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

You are responsible for ensuring that the other members of your party are aware of the content of this Privacy Policy and are in agreement with you supplying their personal data to us to make a booking or other purchase on their behalf.

What information do we collect about you?

As part of your contract with us to supply your air ticket or holiday booking, you agree to provide us with personal data necessary to make this booking.  This may include but is not limited to names, surnames, dates of birth, address, telephone numbers, email addresses, dietary preferences as well as passport details for flight and some holiday bookings.  In some cases we may also need to collect more sensitive personal data such as information concerning medical conditions, disabilities and special requirements, so as to be able to consider your particular needs in relation to a booking.  Failing to supply the requested information may result in the delay or cancellation of your booking. We may also keep track of the emails that we send you and may retain emails relating to bookings and booking enquiries. We also collect some personal details when you ask us for a quote in order to provide you with the requested information.  This can be either via the telephone, email, online enquiry form or through the chat function on our Destination Store website.  We use Tidio to manage our chat platform; please refer to their privacy policy and terms and conditions for further information on how Tidio handles and stores your data.

Information gathered from our online contact form on the Destination Store website is processed via the Gravity Forms add-on; it is saved in our WordPress database and stored by Destination Store as described in this policy.  Information gathered from our other websites featuring a contact form is held on the secure servers of Weebly, our website hosting company, who is responsible for the secure storage of your data and whose privacy policy is available at https://www.weebly.com/uk/privacy. By choosing the opt in option on the website contact form, you are agreeing for us to hold your data and use it for marketing purposes.

How do we use this information?

  • To provide you with a quotation or to make your holiday or flight booking and hence to carry out our obligations arising in connection with any contracts entered into between you and us, or between you and a third party supplier;
  • To communicate with you regarding your booking or other purchase;
  • To help keep you safe when you fly with the airline and to meet certain legal and regulatory requirements which apply to us as an airline;
  • To send you status updates and service communications;
  • To ensure that content from our website is presented in the most effective manner for you and for your computer;
  • To notify you about changes to our service;
  • For improving the quality of our service and the products offered;
  • For resolving complaints and dealing with disputes.

With whom do we share your information?

Under our agreement with you, some of this information will need to be passed to airlines, hotels and third party booking agents in the country to be visited in order to make the holiday booking.  We may also be required to transfer data to customs and/or immigration departments or other regulatory and civil aviation authorities in your country of departure and/or destination in order to comply with existing laws.  Your data may also need to be shared with third party organisations involved in credit card authorisation or other monetary transactions, including credit reference agencies and anti-fraud screening service providers to process payments and (where necessary) to carry out fraud-screening. We may also share them with other third parties, such as law firms and law courts, to enforce or apply any contract with you, or with the police and regulatory authorities, to protect our rights, property, or the safety of our customers, staff and assets.

What is our legal basis for using your personal data?

We will only process your personal information where we have a legal basis to do so. The legal basis will depend on the reason or reasons we collected and needed to use your information. Under EU and UK data protection laws in almost all cases the legal basis will be:

  • Because we need to use your information so that we can process your booking, fulfil your travel arrangements and otherwise perform the contract we have with you.
  • Because it is in our legitimate interests to use your personal information to operate and improve our business as a travel provider.
  • Because we need to use your personal information to comply with a legal obligation.
  • To protect the vital interests of you or another person.
  • Because you have consented to our using your information for a particular purpose.

If processing of your data is subject to any other laws, then the basis of processing your data may be different to that set out above and may in those circumstances be based on your consent in all cases.

Marketing

Separately, you may give us consent to send you marketing emails by signing up to our Newsletter.  We will use the information you provide in the sign-up form to be in touch with you with special offers and updates by email only.  You can change your mind at any time by clicking the unsubscribe link in the footer of any email you receive from us, or by contacting us at info@destinationstore.com.  We use MailChimp as our marketing automation platform.  By subscribing to our mailing service, you acknowledge that the information you provide will held by MailChimp for processing in accordance with their Privacy Policy https://mailchimp.com/legal/privacy/ and Terms https://mailchimp.com/legal/terms/

Cookies

We use “cookies” to store and collect information regarding your usage of the website. Cookies are small files placed on your computer’s hard drive, or in your browser memory, when you visit our website. Your computer will only share the information in the cookie with the website that provided it, and no other website can request it. Cookies identify a computer browsing a website, not an individual.

There are two types of cookies, session and persistent. Session cookies last only as long as your web browser is open. Once you close your browser, the cookie disappears. Data security:

The transmission of information via the internet is not completely secure, and although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted via email, therefore any transmission is at your own risk. Once we have received your information, we will take all reasonable steps to keep your personal data secure and to try to prevent any unauthorised access to it.

Any personal data collected as part of the booking process will be retained in our financial database and in-house invoicing system for 6 years after your year of travel in order to comply with HMRC auditing requirements.  All information you provide to us is stored on our protected internal computer systems or, if in hard copy, in a secured storage area.  Note that data may be sent outside the EEA as part of the booking process, and may not be subject to the same high levels of protection afforded within the EEA.

Your right to access any personal data we hold:

Under the EU General Data Protection Regulation (“GDPR”), you are able to request access to the information we hold about you and you will receive a reply within one month.  We want to make sure that your personal information is accurate and up to date and you may ask us to correct or remove information you think is inaccurate.  You also have the right to request that any personal data held is erased and we will review this taking into account any contractual obligations relating to your booking.  You may also request transfer of your data to another data controller.  Any personal data enquiries can be sent to the postal address below or emailed to data@destinationstore.co.uk
